This course equips learners with the skills to digitise paper-based records and manage electronic files efficiently in a corporate environment. Participants will learn to apply file naming conventions, folder structures, and metadata standards to ensure easy retrieval and compliance with records management policies. The course also covers data security and backup procedures to protect digital assets.

Course Outline

Day 1: Introduction to Digitisation and Digital File Basics

Objectives:
• Understand the concept of digitisation and its importance in modern workplaces
• Identify different types of digital files and their characteristics
• Recognise common file formats and their appropriate uses
• Understand the basics of file naming conventions and metadata

Topics:
• What is digitisation? Definitions and benefits
• Analog vs. digital: key differences
• Overview of common file formats (PDF, JPEG, TIFF, DOCX, etc.)
• File naming best practices
• Introduction to metadata and its role in file management
• Basic digital storage media (hard drives, SSDs, cloud)

Day 2: Digitisation Processes and Tools

Objectives:
• Describe the steps involved in digitising physical documents
• Operate scanning equipment and software effectively
• Apply appropriate settings for different document types
• Perform quality checks on digitised files

Topics:
• Digitisation workflow: preparation, scanning, processing, output
• Types of scanners (flatbed, sheet-fed, book scanners)
• Scanning software and settings (resolution, colour mode, compression)
• Handling fragile or bound documents
• Image enhancement and OCR basics
• Quality assurance checks

Day 3: File Organisation and Storage Solutions

Objectives:
• Design folder structures for efficient file organisation
• Implement version control strategies
• Compare local vs. cloud storage options
• Apply data backup best practices

Topics:
• Hierarchical folder structures and naming conventions
• Version control: manual and automated methods
• Cloud storage platforms (e.g., Google Drive, OneDrive, Dropbox)
• Local storage management (network drives, external drives)
• Backup strategies: 3-2-1 rule
• Security considerations for stored files

Day 4: Advanced File Management and Metadata

Objectives:
• Create and manage metadata for improved searchability
• Use file management software for bulk operations
• Understand digital preservation principles
• Apply data retention and disposal policies

Topics:
• Metadata schemas and standards (Dublin Core, EXIF)
• Batch renaming and file conversion tools
• Digital preservation: file integrity, migration, emulation
• Data retention schedules and compliance
• Secure deletion and data sanitisation
• Introduction to Digital Asset Management (DAM) systems

Day 5: Practical Integration and Workflow Optimisation

Objectives:
• Develop a complete digitisation workflow for a given scenario
• Assess and improve existing file management practices
• Troubleshoot common digitisation issues
• Present a digitisation plan for a small project

Topics:
• Case studies: digitisation projects in different sectors
• Workflow mapping and optimisation techniques
• Cost-benefit analysis of digitisation
• Troubleshooting scanning and file quality issues
• Final project: create a digitisation plan
• Course review and assessment

16 hours of practicals To be conducted online or on-campus or in-house
Overview

Practical sessions form an integral part of this course, allowing learners to apply digitisation and file management concepts in hands-on activities. Learners will operate scanning equipment, organise digital files, and implement workflows under supervision to reinforce theoretical knowledge.

Practical Activities
  • Scanning and Image Processing — Learners scan various document types using flatbed and sheet-fed scanners, adjust settings, and perform basic image enhancement and OCR. (4h)
  • File Organisation and Metadata Creation — Learners create a folder structure, rename files in batches, and add metadata using file properties and specialised software. (4h)
  • Backup and Storage Management — Learners set up local and cloud backups, configure sync settings, and test data restoration procedures. (4h)
  • Workflow Project: Digitisation Plan — Teams plan and execute a mini digitisation project from start to finish, including document preparation, scanning, file management, and presentation. (4h)

Summatives

Each delegate is assessed continuously throughout the course via daily exercises, scored practical assignments, and a final summative test at the end.

Practical Assignments — 30%

Practical assignments are observed and scored against a rubric during the practical sessions. Each delegate's practical mark is averaged into a single 100% score and contributes 30% to the final total.

Daily Exercises — 20%

Every training day ends with a multiple-choice exercise scored out of 100%. The scores from each daily exercise are averaged across the duration of the course to produce a Daily Average mark, which contributes 20% to the final total.

Final Test — 50%

On the last day a final summative test is written. It is a multiple-choice paper with multiple-answer questions: each question may have more than one correct option, and a single wrong selection on a question marks the entire question wrong — no partial credit. The final test is scored out of 100% and contributes 50% to the overall mark.

All marks are recorded on the AATICD LMS and visible to each learner under their account.

Certificate

Certificate of Completion

Awarded to delegates who achieve an overall mark of 50% or higher on the Final Total (Practicals 30% + Daily Average 20% + Final Test 50%).

  • Each certificate is a branded PDF with the delegate's name, the course title, the unit standard ID, NQF level, credits, and the date of issue.
  • You can download or print your certificate from your LMS dashboard at any time after issue — there's no reissue fee and no expiry date.
  • If you scored under 50% you can sit the final test again at the next scheduled session at no extra cost.
