Description

This course equips learners with the skills to digitise physical documents and manage digital files efficiently in a corporate environment. Participants will learn to apply file naming conventions, organise electronic records, and ensure data integrity and security. The course aligns with South African records management best practices and prepares learners for the digital transformation of workplace documentation.

Target Audience

This course is designed for administrative staff, records clerks, data capturers, and any professionals responsible for managing physical or digital documents in a corporate setting.

Prerequisites

None — open enrollment. Basic computer literacy is recommended.

Course Outline

Day 1: Foundations of Digitisation and File Management

Objectives:
• Understand the concepts of digitisation and its importance in modern workplaces
• Identify different types of digital files and their characteristics
• Explain the principles of effective file management
• Recognise common digitisation tools and technologies

Topics:
• Introduction to digitisation: definitions, benefits, and challenges
• Types of digital files: documents, images, audio, video
• File formats and their appropriate uses
• Basics of file management: naming conventions, folder structures
• Overview of digitisation equipment: scanners, cameras, OCR software

Day 2: Digitisation Processes and Quality Control

Objectives:
• Describe the steps in a digitisation workflow
• Apply techniques for capturing high-quality digital images
• Implement quality control measures for digitised content
• Understand metadata and its role in file management

Topics:
• Digitisation workflow: preparation, capture, processing, storage
• Image capture techniques: resolution, colour depth, file compression
• Quality control: checking for errors, consistency, and completeness
• Introduction to metadata: types, standards, and creation
• Hands-on practice with digitisation equipment

Day 3: File Organisation and Storage Solutions

Objectives:
• Design effective folder structures for digital assets
• Implement file naming conventions and version control
• Evaluate storage options: local, network, cloud
• Understand backup strategies and data security

Topics:
• Folder hierarchy design for different contexts
• File naming conventions: elements, examples, best practices
• Version control: tracking changes and managing revisions
• Storage media: hard drives, SSDs, NAS, cloud services
• Backup strategies: 3-2-1 rule, automated backups
• Data security: access controls, encryption, compliance

Day 4: Digital Asset Management (DAM) Systems

Objectives:
• Explain the purpose and benefits of Digital Asset Management systems
• Identify key features of DAM software
• Apply metadata tagging and search functionalities
• Understand workflows for ingesting and retrieving assets

Topics:
• Overview of DAM systems: functions and benefits
• Key features: metadata schemas, taxonomies, search, permissions
• Ingesting assets: uploading, metadata entry, automated processing
• Retrieving assets: search techniques, filters, collections
• Workflow automation: approval processes, versioning
• Case studies of DAM implementation

Day 5: Integration, Compliance, and Best Practices

Objectives:
• Integrate file management practices with organisational workflows
• Apply legal and regulatory requirements for digital records
• Develop a digitisation and file management plan
• Evaluate emerging trends in digitisation and file management

Topics:
• Integrating digitisation with business processes
• Legal and regulatory compliance: POPIA, retention schedules
• Records management principles: authenticity, reliability, integrity
• Developing a digitisation and file management policy
• Emerging trends: AI in digitisation, blockchain for provenance
• Final assessment and action planning

Overview

Practical sessions allow learners to apply digitisation techniques using scanners and cameras, organise files in structured folders, use metadata tagging, and work with a DAM system. These hands-on activities reinforce theoretical knowledge and build competence in real-world file management scenarios.

Practical Activities
  • Digitisation Capture and Quality Check — Learners use scanners and cameras to digitise documents and images, then perform quality checks on the output. (4h)
  • File Organisation and Naming — Learners create a folder structure, rename files according to a naming convention, and implement version control. (4h)
  • Metadata Tagging and DAM System Use — Learners add metadata to digitised files and use a DAM system to organise, search, and retrieve assets. (4h)
  • Integrated Digitisation Workflow — Learners complete a full digitisation workflow from capture to storage, including quality control and metadata entry. (4h)

Summatives

Each delegate is assessed continuously throughout the course via daily exercises, scored practical assignments, and a final summative test at the end.

Practical Assignments — 30%

Practical assignments are observed and scored against a rubric during the practical sessions. Each delegate's practical mark is averaged into a single 100% score and contributes 30% to the final total.

Daily Exercises — 20%

Every training day ends with a multiple-choice exercise scored out of 100%. The scores from each daily exercise are averaged across the duration of the course to produce a Daily Average mark, which contributes 20% to the final total.

Final Test — 50%

On the last day a final summative test is written. It is a multiple-choice paper with multiple-answer questions: each question may have more than one correct option, and a single wrong selection on a question marks the entire question wrong — no partial credit. The final test is scored out of 100% and contributes 50% to the overall mark.

All marks are recorded on the AATICD LMS and visible to each learner under their account.

Certificate

Certificate of Completion

Awarded to delegates who achieve an overall mark of 50% or higher on the Final Total (Practicals 30% + Daily Average 20% + Final Test 50%).

  • Each certificate is a branded PDF with the delegate's name, the course title, the unit standard ID, NQF level, credits, and the date of issue.
  • You can download or print your certificate from your LMS dashboard at any time after issue — there's no reissue fee and no expiry date.
  • If you scored under 50% you can sit the final test again at the next scheduled session at no extra cost.
